Communication Plan

A change management strategy first.

Communicating AI transformation isn't about announcements — it's about behavior change. This plan is designed to normalize AI, reduce fear, build trust, and sustain momentum through a consistent rhythm of content that meets members where they are.

Lead: Dan DeHaan · Sr. Manager, Everyday AI Adoption & Enablement
Sponsor: Isadora Godley · VP, AI Transformation
Framework: Bite · Snack · Meal Content Model

Strategic Foundation

Communications as
change management.

Every piece of content we produce serves the larger goal: giving members the awareness, desire, knowledge, and ability to adopt AI as part of how they work. Content is the mechanism. Behavior change is the outcome.

01

Normalize Before You Educate

Most members will encounter AI in their daily feed long before they attend training. The first job of communications is to make AI feel familiar — not foreign. Tone, frequency, and format all serve this goal before any learning happens.

02

Address Fear Directly

Members have real questions about AI and their jobs. Our communications strategy names those fears — and answers them honestly. Silence invites rumor. Transparency builds trust.

03

Show, Don't Just Tell

Member stories outperform leadership announcements every time. The most effective AI content at Haworth has been a peer showing how they used Copilot to save an hour — not a strategy deck explaining why AI matters.

04

Sustain the Rhythm

AI transformation is a multi-year journey. A single launch campaign is not a communications strategy. The plan is built around a consistent, predictable content cadence that keeps AI visible, relevant, and approachable over the long term.

Voice of Authority

The right voice
for the right message.

Not every message carries the same weight. Haworth's AI communications use a defined voice-of-authority model — matching content to the voice that gives it the most credibility and reach.

Executive Voice
Isadora Godley — VP, AI Transformation
Strategy announcements, vision statements, milestones, and any content that requires enterprise-level authority. Isadora's voice establishes AI as a top priority — not a side project.
Enablement Voice
Dan DeHaan — Sr. Manager, Everyday AI Adoption
Practical guidance, content cadence, training announcements, how-to content, and member-facing communications. Warm, direct, and human — the voice that makes AI approachable.
Peer Voice
AI Champions & Members
Success stories, real examples, peer recommendations, and Viva Engage posts. The most trusted voice in the organization — because it comes from someone doing the same job.

Content Model

Bite · Snack · Meal —
meet members where they are.

Different members have different attention spans, different roles, and different starting points. The Bite · Snack · Meal model ensures we have the right content for every member — not just the ones already interested in AI.

Communication Principles

The rules we
write by.

Every piece of content produced under this plan follows these principles. They are guardrails, not suggestions.

🧑‍💼
Members First, Always
Every piece of content starts with what the member needs to know, feel, or do — not what leadership wants to announce. If it doesn't serve a member, it doesn't ship.
🗣️
Plain Language
No AI jargon. No transformation theater. No hollow corporate language. If a member in manufacturing can't understand it, it needs a rewrite. Clarity is not dumbing down — it's respect.
Accurate, Always
We never overstate capability, understate risk, or make promises the organization can't keep. If we don't know, we say so. Trust is built in the details and lost in the hype.
🔄
Cadence Over Campaigns
A single big launch does not create lasting change. Consistent, predictable content — week over week, month over month — is what normalizes AI as part of how Haworth works.
👂
Listen as Much as We Publish
Viva Engage is not a broadcast channel. Member comments, questions, and pushback are data. We read them, respond to them, and let them shape what we create next.
📏
Measure What Matters
Open rates and page views are signals, not outcomes. We track adoption, behavior change, and confidence — and we use that data to improve the plan every quarter.

The work of communication

Change doesn't happen
without communication.

AI transformation at Haworth succeeds because members understand it, trust it, and see themselves in it. That starts here.
